Refunds, cancellations & deposits

Scope

This policy applies to paid consultations with Pillar Grove Wealth Guidance — including wealth planning, retirement income mapping, inheritance conversations, and investment portfolio reviews. It does not cover products, funds, or services sold by third parties.

Eligibility for a full refund

If you cancel in writing more than seven clear days before the scheduled fact-find meeting, and we have not begun substantive analysis of your documents, you receive a full refund of fees paid for that engagement, including the deposit.

Partial refunds

If you cancel between seven days and 48 hours before the fact-find, we retain 30% of the agreed fee to cover preparation already started and refund the remainder. If the written pack has been delivered, fees for that engagement are non-refundable because the advice work is complete.

Non-refundable items

Time already spent on analysis after documents arrive, clarification calls already held, and third-party costs you authorised separately are non-refundable. Introductory calls of under twenty minutes are not charged and therefore have no refund.

Rescheduling

You may reschedule once at no charge with at least 48 hours’ notice. Further reschedules within fourteen days of a confirmed fact-find may incur a £75 administration fee. We will propose new dates within ten working days.

No-shows

If you miss a booked meeting without notice, the deposit is retained. We will offer one replacement slot; if that is also missed, the engagement may be closed and remaining prepaid fees refunded minus the deposit and any analysis hours already worked at a rate of £120 per hour.

Work already started

Once we have opened your statements and begun drafting, cancellation triggers a partial refund calculated as total fee minus hours worked (minimum retained: the deposit). You receive any unfinished draft notes already prepared.

Refund process & timing

Email hello@developer-workflowtools.digital with your name, engagement type, and payment date. We confirm eligibility within five working days and process approved refunds to the original bank account within fourteen working days. We do not issue cash refunds.

Deposits

Deposits secure diary time. They are applied to the final invoice when work completes. Deposit treatment on cancellation follows the rules above.

Exceptions

If we cancel an engagement for reasons other than your breach of the engagement letter, you receive a full refund of sums paid for unfinished work. Statutory cooling-off rights for distance contracts, where they apply to consumers, are respected in addition to this policy.
